Kentik is on the lookout for a highly skilled and experienced Offsite Event Planner to join our team on a contract basis. As a fully remote role, you'll have the flexibility to work from anywhere, but you'll be required to attend our company event in Central Florida from March 1st to 8th, 2025. Key Responsibilities

  • Collaborate with our internal planning team on all aspects of the event, ensuring seamless execution and attention to detail.
  • Research, vet, and engage with contractors across all event functions, including setup, catering, audio/visual, and more.
  • Book venues for dinners and activities, managing contract review and day-of logistics with precision.
  • Oversee transportation companies, handling contract review and day-of logistics to ensure smooth operations.
  • Manage accounting processes, including event contracts, invoices, and updating the event budget to ensure financial transparency.
  • Act as liaison between the internal planning team and hotel staff during the event, ensuring effective communication and issue resolution.
  • Conduct daily reviews of BEOs (Banquet Event Orders) and communicate with the internal planning team to ensure alignment.
  • Handle various administrative duties related to the event, demonstrating your organizational and multitasking skills.
  • Post-event, reconcile invoices, review tasks, and document lessons learned to improve future events.

Essential Qualifications

To succeed in this role, you'll need:

  • 2-4 years of experience in event planning, coordination, and/or management, with a proven track record of organizing successful events in a corporate environment.
  • Outstanding communication, vendor management, and negotiation skills to effectively collaborate with stakeholders.
  • Experience managing budgets and tracking expenses to ensure financial responsibility.
  • Excellent organizational and multitasking skills, with strong attention to detail to deliver high-quality events.
  • Comfort with Google Docs and Slides, as well as other productivity tools.
  • Strong problem-solving skills to navigate unexpected challenges and ensure event success.

Nice to Have Qualifications

While not essential, the following qualifications can give you a competitive edge:

  • Experience working at a B2B SaaS company, selling to a technical audience, which can help you understand our industry and needs.
  • Familiarity with planning events in Central Florida, which can streamline the planning process for our company event.
