As a Senior Administrative Assistant, you will play a vital role in ensuring the smooth operation of our organization, working closely with senior leaders and teams to provide exceptional administrative support.
Key Responsibilities
- Meeting and Event Planning: Schedule and set up resources and technology needed for meetings and events, including conference rooms and catering.
- Document Preparation: Create and prepare meeting materials, such as PowerPoint presentations and meeting agendas, and review documents to ensure accuracy and quality.
- Access Management: Manage system and building access requests for communications team members.
- Administrative Tasks: Process invoices, order office supplies, compile and integrate information for reports and documents, and perform varied administrative duties.
- Calendar Management: Manage the calendars and schedule changes for several senior leaders.
- Travel Coordination: Book travel on behalf of key leaders.
- Expense Reporting: Track and submit expense reports on behalf of senior leaders.
- Onboarding Support: Perform Business Segment Liaison (BSL) tasks for onboarding new employees, including real estate and equipment arrangements.
- Other Duties: Prepare outgoing mail, including overnight express, and perform other administrative duties as defined.
Essential Qualifications
- Education: High School Diploma / GED (or higher) with equivalent experience.
- Technical Skills: Intermediate proficiency in Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Microsoft Outlook, Microsoft Teams, and Microsoft SharePoint.
- Availability: Ability to work any 8-hour shift between 8:00 AM - 5:00 PM.
Preferred Qualifications
- Administrative Experience: 2+ years of experience providing event or team-level administrative support.
- Executive Calendar Management: 2+ years of experience working with multiple executive calendars.
- Corporate Environment: 2+ years of experience working in a large, fast-paced corporate environment.
- Executive Support: 2+ years of experience providing administrative support to an executive at the Director level (or higher).
- PowerPoint Skills: Experience building Microsoft PowerPoint presentations.
- Industry Background: Communications and/or healthcare industry background.
Telecommuting Requirements
- Dedicated Workspace: A dedicated work area established that is separated from other living areas and provides information privacy.
- Data Security: Ability to keep all company-sensitive documents secure.
- High-Speed Internet: Must live in a location that can receive a UnitedHealth Group-approved high-speed internet connection or leverage an existing high-speed internet service.

- Communication Skills: Professional and articulate with strong verbal and written communication skills.
- Remote Work Experience: Experience supporting remote employees.
- Task Management: Ability to manage multiple tasks with competing priorities in a time-sensitive environment.
