Key Responsibilities

As a Virtual Assistant for Scheduling and Administrative Support, you will be responsible for a range of tasks that require strong organizational skills, attention to detail, and excellent communication. Your key responsibilities will include:

  • Calendar management: efficiently managing multiple calendars, scheduling meetings, and ensuring seamless coordination between team members and clients.
  • Meeting scheduling and planning: coordinating meetings, preparing materials, and ensuring that all necessary documents are available.
  • Document management: saving, naming, and organizing documents in a logical and accessible manner, using tools such as Dropbox.
  • Redline/Word comparing: using Microsoft Compare tools to generate redlines and track changes in documents.
  • Gmail/Google Calendar/Zoom management: managing email accounts, calendars, and Zoom meetings to ensure smooth communication and collaboration.
  • Hellosign/Docusign management: administering electronic signature processes, ensuring compliance, and maintaining records.
  • Todo lists and follow-up: maintaining task lists, following up on outstanding actions, and ensuring that deadlines are met.

Essential Qualifications

To succeed in this role, you will need to possess a strong skillset and relevant experience. The essential qualifications for this position include:

  • Experience working with law firms, accountants, investment banks, or similar environments where discretion and good judgment are critical.
  • Proven ability to manage multiple calendars, schedules, and tasks with ease.
  • Excellent communication and interpersonal skills, with the ability to interact with high-level executives and professionals.
  • Strong attention to detail, with a thorough and accurate approach to work.
  • Ability to work independently, with minimal supervision, and maintain a high level of productivity.
  • Proficiency in Google Suite, Microsoft Office, and other relevant tools, such as Zoom, Hellosign, and Docusign.

Preferred Qualifications

While not essential, the following qualifications are highly desirable:

  • Experience with document management systems, such as Dropbox.
  • Familiarity with Microsoft Compare tools and redline generation.
  • Previous experience as a virtual assistant or in a similar remote work environment.
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
