Key Responsibilities

  • Manage the executive schedules, including prioritizing and resolving related conflicts, proactively booking important meetings with internal and external stakeholders, and maintaining a well-organized office.
  • Coordinate domestic and international travel arrangements, including travel approvals, flight tickets, hotel reservations, visas, airport transfers, and expense reports, ensuring compliance with the Organization's Travel Policy.
  • Provide support in organizing meetings, including planning the agenda, collaboration on presentations/data, handling logistics, such as meeting registrations, room reservations (internal and external), and local travel.
  • Maintain various departmental database systems and distribution lists, ensuring accuracy and up-to-date information.
  • Support department-wide activities, such as meetings, office newsletters, new job postings, and birthday/anniversary celebrations, including organizing, drafting, and posting office-wide communications using PowerPoint, MS Teams, and email.
  • Coordinate with departmental authority to grant/maintain/revoke related SAP access requests for partners from external partners.
  • Initiate, track, and maintain departmental purchase orders in a timely and proactive manner, ensuring vendor invoices are paid accurately and on time.
  • Interact with vendors, organizations, and maintain internal and external relationships.
  • Perform general administrative tasks, including but not limited to copying, faxing, filing, and data entry; gather and open mail; complete various forms, including purchase requisitions, shipping requests, travel expense reports, requests for payment, consultancy agreements, and keeping in touch list for the Regulators Gathering.

Essential Qualifications and Skills

To be successful in this role, you will need:

  • A Bachelor's degree from an accredited institution.
  • At least 2 years of experience in a high-level support role, preferably in a corporate or administrative setting.
  • Proven ability to be an innovative problem solver, with experience in managing projects and prioritizing tasks.
  • Moderate knowledge of MS Office, including Word, Excel, PowerPoint, Teams, and Outlook.
  • Strong attention to detail, organizational, and interpersonal skills, with the ability to work effectively in a fast-paced environment.
  • Experience in scheduling travel arrangements and calendar management.
  • Support experience in a professional services, sales, or marketing environment.
  • Excellent written and verbal communication skills, with strong analytical and problem-solving abilities.

Preferred Qualifications

  • Experience in creating and editing processes, with a keen eye for detail and a proactive approach.
  • Master-level written and verbal communication skills, with the ability to work effectively with staff at all levels.
  • A high degree of professionalism, discretion, and confidentiality, with the ability to handle sensitive and confidential information.
