Job Overview

We are seeking a highly motivated and organized Contracts Administration Associate to join our Business Operations group. As a Contracts Administration Associate, you will work under the supervision of the Contracts department leadership team in the administration of contracts, performing a variety of tasks to support Contracts operation and services delivery. The portfolio includes federal, state, and local government contracts, as well as foundation and commercial contracts. Key Responsibilities

  • Perform contract and subcontract administration support tasks, including contract closeout activities, coordinating contract review and execution, research, and drafting correspondence such as 75%/85% limitation of funding letters, key personnel change request letters, labor category change requests, and other required notices.
  • Assist in the drafting and review of agreements critical to supporting the Contracts function, such as modifications, subcontracts, non-disclosure agreements, teaming agreements, and other contract documents.
  • Provide guidance and feedback to project teams relating to monitoring contract and subcontract costs, compliance with terms, and communicating contracts policies and processes with staff throughout Mathematica to enhance cross-functional understanding of Contract processes and teamwork.
  • Maintain and update the contract management system to ensure accuracy and to incorporate changes.
  • Assist with the preparation and submission of administrative and other reports to and from federal agencies and as required by clients and auditors.
  • Support Contracts administration, including internal cross-functional meetings, partnering with Legal Operations, onboarding coordination, and maintaining internal content sharing (SharePoint, intranet, and other).
  • Support the development of Contracts processes and procedures and analyze opportunities for improvements and efficiency gains.
  • Participate in and manage special Contracts projects and organizational initiatives.
  • Actively support the advancement of organizational diversity, equity, and inclusion efforts, and apply diversity, equity, and inclusion lens across job responsibilities.

Essential Qualifications

  • Excellent written and verbal communication skills.

  • Ability to deal tactfully and diplomatically with others.

  • Willingness to travel to other locations as necessary.
  • Proficiency with Microsoft Word, Excel, Outlook, PowerPoint.

Preferred Qualifications

  • Familiarity with contracting/subcontracting.
  • Experience working with federal, state, and local government contracts.
  • Knowledge of contract management systems and software.

Education and Experience

A BA/BS degree in business administration, liberal arts, or a related field is required. A combination of equivalent education and work experience may be substituted for the above requirements. At least 0-2 years of relevant experience is preferred.

Compensation and Benefits

We offer a competitive salary range of $50,000 - $63,000 per year, depending on experience. Our comprehensive benefits package includes medical, dental, and vision insurance, 401(k) matching, and a generous paid time off policy.
