Office Assistant
Overview
We are seeking a detail-oriented and highly organized Office Assistant to join our team. This role is essential in ensuring the smooth day-to-day operations of our office, providing administrative support, and enhancing the overall employee and customer experience. In addition to office management responsibilities, the Office Assistant will also support employee well-being by preparing light refreshments, such as lemon water and seasonal fresh juices. The ideal candidate will have solid office management experience and demonstrate excellent communication and interpersonal skills.
Duties
• Manage front desk operations, including greeting visitors and handling inquiries.
• Maintain organized filing systems for efficient data entry and record keeping.
• Utilize QuickBooks for bookkeeping tasks and financial record management.
• Assist with calendar management, scheduling appointments, and coordinating meetings.
• Provide administrative support to various departments as needed.
• Ensure a professional office environment by maintaining cleanliness and organization.
• Handle customer service inquiries with professionalism and courtesy.
• Maintain office supplies, equipment, and inventory.
• Coordinate with vendors, service providers, and building management.
• Prepare morning refreshments for employees, such as lemon water, seasonal fresh juices, and other light items.
• Manage the pantry, including ordering lunch for employees every Friday, maintaining snacks and sodas, and ensuring a well-stocked and welcoming kitchen.
• Care for office plants to maintain a pleasant and healthy environment.
• Other duties as assigned.
Qualifications
• Previous office administration or office management experience is required.
• Strong organizational skills with the ability to manage multiple tasks efficiently.
• Excellent phone etiquette and customer service skills.
• Bilingual in Mandarin is preferred.
• Experience with data entry, filing systems, and general clerical duties is a plus.
• Strong time management skills to prioritize tasks effectively in a fast-paced environment.
• Experience as a personal assistant is an advantage, particularly in managing executive schedules
