Job Overview

The Enrollment Coordinator plays a vital role in our organization, responsible for managing the enrollment process from start to finish. This includes following up on pending documents, required information, and other details necessary to complete the client’s worker enrollment process. The goal of this position is to hire care providers as efficiently as possible, allowing our clients to receive their authorized services promptly. As an Enrollment Coordinator, you will work closely with our Utilization Coordinator, Authorization Coordinator, and CPR Instructors to facilitate the enrollment process and ensure seamless communication with families, clients, and Regional Centers.

Key Responsibilities

  • Administer the enrollment process for workers identified and hired by clients, ensuring all necessary documents and information are collected and processed efficiently.
  • Process enrollment forms, including Employment Eligibility Verification (I-9 Forms & documentation), data entry into AvennaCare, and sending login credentials once hired.
  • Maintain communication with pending applicants and families throughout the onboarding process to ensure a smooth hiring process.
  • Assist care providers in meeting all hiring requirements, including CPR/FA class enrollment or referral to a preferred CPR/FA vendor.
  • Ensure compliance and up-to-date documentation is on file for CPR/FA documents and any other required forms.
  • Maintain and update Employee & Client Service Accounts in AveannaCare.
  • Run AveannaCare reports and process data imports as needed.
  • Prioritize tasks based on incoming volume of new cases and enrollment forms.
  • Perform other duties as assigned or needed to support the team and organization.

Essential Qualifications

To be successful in this role, you will need:

  • A Bachelor’s degree is preferred, but not required; equivalent experience will be considered.
  • Minimum of one year of customer service experience within the last four years.
  • Ability to work effectively with others in a fast-paced environment.
  • Excellent interpersonal skills; self-driven, motivated, and results-oriented.
  • Strong analytical and judgment skills, with the ability to problem-solve and apply creative solutions.
  • Intermediate computer skills using Microsoft Windows, Word, Excel, and ability to be trained on Aveanna’s proprietary software programs.
  • Ability to successfully handle multiple tasks simultaneously; strong organizational skills.

Preferred Qualifications

While not essential, the following qualifications are desirable:

  • Previous experience in an administrative or clerical role, preferably in a healthcare or social services setting.
  • Knowledge of enrollment processes and procedures.
  • Experience with data entry and management systems.
  • Strong communication and interpersonal skills, with the ability to build rapport with clients, families, and care providers.
