About the Role
We are seeking an experienced and highly skilled Executive Assistant to join our Chairman's Office team. As an integral part of our dynamic and fast-paced environment, you will provide administrative support to the Chairman & CEO and work closely with the Senior Executive Assistant and other team members. Key Responsibilities
- Assist the Senior Executive Assistant with day-to-day activities supporting the Chairman & CEO, ensuring seamless execution of tasks and projects
- Provide backup calendar and travel management for the Chairman & CEO, as well as primary calendar and travel management for the Vice President Assistant (VPA), demonstrating attention to detail and organizational skills
- Ensure timely preparation and processing of expense reports and invoices, reviewing expenses submitted to the Chairman's Office for approval and highlighting any out-of-policy spend, maintaining high levels of accuracy and integrity
- Manage conference room reservations, distribution lists, and assist with timekeeping/payroll, processing invoices, ordering supplies, and other administrative tasks, utilizing strong problem-solving skills and proficiency in Microsoft Office
- Assist with special events, projects, and initiatives, demonstrating flexibility and adaptability in a fast-paced environment
Essential Qualifications
To be successful in this role, you should have:
- At least 3+ years of previous experience as an Executive Assistant to a senior leader, demonstrating a strong understanding of administrative procedures and protocols
- Proven ability to work within deadlines in a fast-paced, dynamic environment, executing multiple initiatives and tasks with ease and poise
- A strong sense of integrity, using discretion and maintaining confidentiality with sensitive information, upholding the highest standards of professionalism and ethics
- Motivated, proactive, and team-oriented, with the ability to interact with colleagues at all levels of a diverse, global organization, fostering a culture of collaboration and respect
- Excellent verbal and written communication skills, with the ability to articulate complex ideas and concepts in a clear and concise manner
- Strong attention to detail, with an emphasis on accuracy, quality, timeliness, follow-through, and a sense of urgency in executing tasks and projects
- High proficiency in Microsoft PowerPoint, Excel, Word, and Outlook, with a willingness to learn new technology and adapt to changing systems and processes
