Key Responsibilities

  • Review approved quotes returned by customers for accuracy, exercising discretion and judgment in assessing their validity.
  • Set up new customer contracts in Service Trade based on approved quotes, ensuring all details are accurately captured.
  • Assign service lines to contracts as required, maintaining consistency and compliance with standard practices.
  • Review repair quotes and ensure jobs are assigned to the appropriate job, optimizing workflow and efficiency.
  • Verify customer's tax status and contract details, ensuring accuracy and compliance with applicable tax regulations.
  • Assign applicable customers' assets as needed for job, maintaining accurate records and facilitating smooth operations.
  • Assign customers' labor contract to jobs, abiding by appropriate labor allocation agreements and ensuring compliance.
  • Collaborate with the sales team to request required documentation as needed, fostering a culture of teamwork and cooperation.
  • Adhere to standard operating procedures (SOPs) to ensure all data is entered both with consistency and in compliance with approved standard practices.
  • Perform other duties as assigned, demonstrating flexibility and a willingness to adapt to changing priorities.

What We're Looking For

Essential Qualifications

  • High School Diploma/GED is required.
  • 3-5 years of office experience/data entry/customer service, with a proven track record of accuracy and efficiency.
  • Proficient knowledge of accounting processes, with the ability to apply this knowledge in a practical context.
  • Proficient with Microsoft Office applications, including Excel, Word, and Outlook.
  • Strong verbal and written communication and interpersonal skills, with the ability to communicate professionally.
  • Ability to multi-task, prioritize, and manage time effectively, with a strong focus on productivity and efficiency.

Preferred Qualifications

  • An associate degree in business or supply chain is desirable.
  • Bachelor's degree or equivalent related experience a plus.
  • Experience with JD Edwards Enterprise One and Service Trade preferred.
  • Experience in a service-related industry is desired.
