About the Position

The College of Humanities and Social Sciences at CSUF is committed to educating students to be culturally, globally, socially, historically, and environmentally astute, civically responsible alumni able to navigate an increasingly complex and interconnected world. We are seeking an exceptional individual to join our team as the Humanities and Social Sciences Dean's Office Administrative Support Coordinator II. This role requires a reliable, organized, and customer-focused individual with excellent communication skills to provide direct support to the Humanities and Social Sciences Financial Resource Manager and the Dean's Office.

Key Responsibilities

  • Examine travel documents for compliance with CSUF, Auxiliary Services, and Philanthropic Foundation policies and procedures.
  • Interpret or explain travel policies for Humanities and Social Sciences faculty and staff as needed.
  • Prepare various documents to correct posting errors in the financial system or for invoicing auxiliary organizations.
  • Assist the Dean's Office with front office coverage, including answering phone calls, responding to emails, and greeting visitors.
  • Act as Payroll warrant coordinator for the Dean's office and backup for college departments.
  • Assist with college commencement ceremonies and other special events.
  • Perform other duties as assigned, including campus document delivery, meeting set-up, and special projects.

Essential Qualifications

We are seeking a highly skilled and experienced individual with the following qualifications:

  • A high school diploma or the equivalent and five years of progressively responsible experience in general office, clerical, or secretarial work or the equivalent.
  • Comprehensive and detailed knowledge of applicable university infrastructure, policies, and procedures.
  • Thorough mastery of English grammar, punctuation, and spelling.
  • Expertise in using office software packages, technology, and systems.
  • Ability to independently handle multiple work unit priorities and projects.
  • Ability to independently interpret and apply policies and procedures and use judgment and discretion to act when precedents do not exist.
  • Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
  • Ability to understand problems from a broad perspective and anticipate the impact of office administration problems and solutions on other areas.
  • Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.
  • Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.
  • Ability to effectively write and present own reports.
  • Ability to effectively handle interpersonal interactions at all levels, including highly sensitive interpersonal situations.
  • Ability to use negotiation and persuasion skills to achieve results and expedite projects.

Preferred Qualifications

We are also seeking an individual with the following preferred qualifications:

  • Intermediate to advanced knowledge of Excel.
  • Previous experience with processing travel documents and contracts.
