Job Overview

As a Lead Scheduler - Overnight, you will play a critical role in overseeing our team of Care Support specialists, ensuring seamless patient scheduling, registration, and insurance verification processes. You will serve as a liaison between our Care Support Management team and Clinical department staff, providing exceptional leadership, guidance, and support to ensure the highest level of patient care and satisfaction. Position Highlights

  • Full-time position with a schedule of 40 hours per week, working overnight shifts from 7:00 pm to 3:30 am, with alternating every 3rd Saturday off
  • Remote work arrangement after completing the initial training period

Responsibilities

As a Lead Scheduler - Overnight, your key responsibilities will include:

  • Providing leadership and guidance to our team of Care Support specialists, ensuring they have the resources and support they need to deliver exceptional patient care
  • Coordinating patient scheduling, registration, and insurance verification processes, ensuring accuracy, efficiency, and patient satisfaction
  • Troubleshooting complex scheduling issues, investigating and resolving problems in a timely and professional manner
  • Responding to scheduling inquiries from patients, physicians, and other clinical staff, providing exceptional customer service and support
  • Prioritizing workload, monitoring call queues, and making informed decisions to optimize department efficiency and patient care
  • Performing service recovery with patients who are experiencing issues with the scheduling process, ensuring their concerns are addressed and resolved promptly
  • Collaborating with clinical leads to identify areas for process improvement and implement changes to enhance patient care and department operations

Essential Duties and Responsibilities

In addition to the responsibilities outlined above, you will be expected to:

  • Cover all scheduling roles as needed, ensuring seamless continuity of patient care
  • Maintain a clean and organized work area, adhering to departmental standards and guidelines
  • Participate in departmental projects, huddles, and meetings, contributing to the development of new initiatives and process improvements
  • Utilize Epic scheduling software to schedule and cancel appointments, ensuring accuracy and efficiency
  • Research patient entries to ensure accurate scheduling, identifying and resolving duplicate patient records as needed
  • Update patient information as necessary, reviewing and updating patient demographics and registration as required

Qualifications and Requirements

To be successful in this role, you will need:

  • A High School Diploma or GED, with a minimum of 3 years of experience in a call center or scheduling environment, preferably in a healthcare setting
  • Proficiency in Epic scheduling software, with the ability to learn and adapt to new systems and technologies
  • Excellent communication, customer service, and leadership skills, with the ability to work effectively in a fast-paced, dynamic environment
  • Strong problem-solving and analytical skills, with the ability to troubleshoot complex scheduling issues and develop creative solutions
  • A strong commitment to patient care, with a passion for delivering exceptional service and support to patients, families, and healthcare teams

Preferred Qualifications

While not required, the following qualifications are preferred:

  • Experience in a leadership or supervisory role, with a proven track record of success in managing teams and developing staff
  • Knowledge of healthcare operations, policies, and procedures, with a strong understanding of patient scheduling, registration, and insurance verification processes
  • Certification in a relevant field, such as medical scheduling or healthcare administration
