Position Overview – Your Impact as a People Operations Onboarding Specialist

The Remote Part-Time People Operations Onboarding Specialist serves as the cornerstone of the employee journey, ensuring that each new hire transitions smoothly from offer acceptance to full integration within the organization. Reporting directly to the Vice President of People Operations, you will partner with hiring managers, department leaders, and cross‑functional teams to design, execute, and continuously improve a world‑class onboarding experience that reflects our culture of excellence and care.

Key Responsibilities – What You’ll Do Every Day

  • End‑to‑End Onboarding Management: Own the full lifecycle of onboarding for all new hires—full‑time employees, part‑time staff, and contractors—by coordinating pre‑boarding communications, arranging welcome kits, and guiding them through each milestone.
  • Schedule Coordination & Logistics: Collaborate with hiring managers and department heads to create customized onboarding agendas that balance role‑specific training, compliance modules, and cultural immersion activities.
  • Primary Point of Contact: Serve as the go‑to resource for new hires, answering questions, resolving roadblocks, and providing a friendly, supportive presence throughout the first 90 days.
  • Reference & Background Checks: Conduct thorough pre‑employment reference checks, verify credentials, and ensure all background screening results are documented in compliance with company policy and applicable law.
  • Document Collection & Compliance: Collect, verify, and securely store essential employment documents—including tax forms, NDAs, E‑Verify confirmations, and any state‑specific paperwork—while guaranteeing adherence to labor regulations.
  • Orientation Material Development: Create, refresh, and distribute engaging orientation guides, welcome videos, and process checklists that reflect the latest company initiatives and brand messaging.
  • Systems Access & Setup: Coordinate with IT and the Rippling workforce management platform to provision hardware, software licenses, email accounts, and role‑based access permissions on day one.
  • Vendor & Contractor Liaison: Maintain up‑to‑date records for external contractors, interface with staffing agencies, and ensure that all third‑party relationships comply with contractual and regulatory requirements.
  • Process Improvement Champion: Continuously gather feedback from new hires, hiring managers, and senior leaders to identify friction points and implement data‑driven enhancements to the onboarding workflow.
  • People Operations Projects: Contribute to broader PeopleOps initiatives such as employee engagement surveys, mentorship program development, and retention strategies, leveraging your onboarding expertise to inform these efforts.
  • HRIS Data Accuracy: Maintain impeccable records in HRIS systems, ensuring that employee profiles, status changes, and compensation details are current and accurate.

Essential Qualifications – What We’re Looking For

  • Minimum 3 years of professional experience in Human Resources, employee onboarding, or a closely related employee experience function.
  • Demonstrated ability to manage multiple concurrent onboarding cycles while maintaining high attention to detail and meeting strict timelines.
  • Exceptional interpersonal and communication skills, with a proven track record of building rapport across all organizational levels—from entry‑level staff to executive leadership.
  • Strong organizational and time‑management capabilities, including mastery of task‑tracking tools, calendars, and project management software.
  • Proficiency with modern HR technology stacks (e.g., HRIS, ATS, onboarding platforms such as Rippling, BambooHR, or Workday) and a comfort level with learning new systems quickly.
  • Demonstrated problem‑solving mindset, with the ability to anticipate issues, devise proactive solutions, and act independently in a remote environment.
