About the Role

As a Remote Administrative Assistant at Workoo Technologies, you will play a vital role in supporting our team and ensuring the smooth operation of our business. Key Responsibilities

  • Diary and email management: effectively manage calendars, schedule appointments, and coordinate travel arrangements
  • Answering phones and directing calls: provide exceptional customer service and ensure that all calls are handled promptly and professionally
  • Sending care packages to customers: help build strong relationships with our clients by sending personalized care packages and gestures of appreciation
  • Billing and late notices: manage billing cycles, send out invoices, and follow up on late payments
  • Managing internal meetings: coordinate meetings, prepare agendas, and ensure that all necessary materials are available
  • Attend client calls, take meeting notes, and create tasks: provide administrative support during client calls, take detailed notes, and create tasks for internal teams and clients
  • Assist in maintaining Salesforce: help manage our CRM system, update records, and ensure data accuracy
  • Order computers and office supplies: procure necessary equipment and supplies to ensure the smooth operation of our business
  • Occasionally handle personal items for the CEO: provide administrative support to our CEO, including making calls and running errands
  • Special tasks and projects: participate in special projects and tasks as assigned by management

Essential Qualifications

  • 2+ years of experience in an administrative role, preferably in a tech-related industry
  • High school diploma or equivalent required; associate's or bachelor's degree preferred
  • Excellent communication and interpersonal skills, both written and verbal
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
  • Proficiency in Microsoft Office, Google Suite, and other productivity software
  • Experience with CRM systems, such as Salesforce, is a plus
  • Ability to work independently in a remote environment and maintain confidentiality

Preferred Qualifications

  • Experience working in a fast-paced, dynamic environment with multiple priorities and deadlines
  • Knowledge of accounting principles and experience with billing and invoicing
  • Familiarity with project management tools and software
  • Certification in administrative assistance or a related field is a plus
