Position Description: Background:We are seeking a detail-oriented and dependable AR/AP & Compliance Clerk to support our finance team in maintaining accurate AR/AP financial records, co-managing vendor relationships, and ensuring financial compliance documentation is kept up-to-date. The ideal candidate has strong attention to detail, great communication skills, and thrives in a collaborative, mission-driven environment.Responsibilities:Accounts Payable (AP):Receive, code, and process vendor invoices through RampMatch POs, receipts, and payment approvalsManage payment runs (ACH, check, or card)Track credit memos and outstanding balancesEnsure timely payments to vendors, flag urgent itemsWork collaboratively on special projects that help increase efficiency, reduce costs or improve overall company performanceMentor payables -assigned Circle Business Support colleagues, assign tasks and review work, providing regular coaching and feedbackAccounts Receivable (AR):In collaboration with VP Sales, prepare and send customer invoices based on contracts or fulfillmentMonitor accounts for late payments and follow up with clientsMonitor sales reports and maintain AR aging reportsSupport collections process in coordination with VP SalesReconciliation & Reporting:Assist with month-end close by reconciling AP/AR accounts and responding to Ramp questions from Accounting teamProvide AP/AR status reports to Finance DirectorHelp with audit prep and documentationVendor & Internal Communication:Serve as a co-liaison with vendors and internal team membersResolve discrepancies and invoice disputesMaintain accurate and organized documentation (W-9s, ACH forms, vendor agreements)Light Compliance Support:Track vendor compliance items (W-9s, Certificates of Insurance, ACH authorization forms)Ensure proper classification and documentation for NMTC- or grant-funded expensesOrganize audit-ready folders for lending partners and internal reviewersRequirements:Eagerness to learn and adapt to evolving systems and responsibilitiesFlexibility to support different tasks across finance and compliance workflowsBookkeeping, AP/AR, or finance admin experienceFamiliarity with accounting software (QuickBooks Online preferred)Experience using Ramp, Bill.com, or similar systems a plusHighly organized and deadline-drivenGood written and verbal communicationHigh School diploma required; college or professional coursework in accounting/finance preferredBenefits: Healthcare: Choice of employer sponsored healthcare plans (95% employer contribution), access to dental and vision plansPaid Time Off/Paid HolidaysOther: 401k plan & administration, HSA, supplemental mental healthcare etc. Education: Professional on-the-job training and courses for career advancementCircle Seafoods QALICB, Inc. is an equal opportunity employer.
