Job Overview

The Customer Service Representative will play a vital role in ensuring that our patients receive the highest level of care and service. Reporting to the Director of Practice Operations, this position will be responsible for providing superb customer service, preparing patients for their appointments, maintaining patient schedules, and fielding incoming phone calls and emails. Key Responsibilities

  • Prepare patients for their appointments by obtaining photo identification, signature of various consent forms, and associated blithequark paperwork required for the visit.
  • Ensure smooth patient flow throughout the clinic, coordinating with clinical staff and providers to minimize wait times and maximize efficiency.
  • Maintain and coordinate patient schedules for various providers and clinical staff, using blithequark's electronic health record (EHR) system and other software as needed.
  • Field incoming phone calls and emails through a shared authorization email inbox, responding to patient inquiries and resolving issues in a timely and professional manner.
  • Assist and prepare employer paperwork for the clinical staff, ensuring that all necessary documents are completed and submitted accurately and efficiently.
  • Assist with covering at other blithequark locations as necessary, providing support and ensuring continuity of care for our patients.
  • Assist with tasks as directed by management, demonstrating flexibility and a willingness to adapt to changing priorities and needs.

Essential Qualifications

To be successful in this role, you will need to possess the following essential qualifications:

  • Ability to communicate clearly and professionally both in writing and verbally, with excellent interpersonal and customer service skills.
  • Demonstrated personal responsibility, integrity, and ability to handle Protected Health Information (PHI) in a manner consistent with HIPAA regulations.
  • Attention to detail and ability to multi-task, with a strong focus on accuracy and efficiency.
  • Ability to work both independently and as part of a team, following blithequark protocols and procedures.
  • Basic computer skills with Windows, Microsoft Office programs, and blithequark's EHR system, with the ability to learn and adapt to new software and technologies.

Preferred Qualifications

  • Previous experience in a healthcare or customer service environment, with a strong understanding of patient-centered care and customer service principles.
  • Completion of employer-required trainings in a timely manner, demonstrating a commitment to ongoing learning and professional development.
