As a Virtual Admin Scheduler , you will play a vital part in managing administrative tasks and scheduling within our legal operations. Youll coordinate with clients, referral partners, and internal leaders to ensure smooth processes and timely updates on all client matters.
Key Responsibilities :
• Serve as the primary point of contact for clients and partners, managing scheduling and administrative tasks.
• Coordinate appointments, meetings, and deadlines , ensuring accuracy and efficiency.
• Communicate with clients, referral partners, and internal team members in English.
• Keep our Matter system updated with accurate client and case information.
• Collaborate with internal leaders to ensure smooth workflow and communication.
• Maintain professionalism and responsiveness in all client-facing interactions.
• Proven experience in administrative, scheduling, or client coordination roles.
• Strong English communication skills (written and spoken).
• Excellent organizational and multitasking abilities .
• Experience with CRM or legal management tools (Salesforce, Litify, etc.) is a plus.
• Reliable, detail-oriented, and professional in handling client interactions.
• Comfortable working in a virtual environment and U.S. business hours.
• Laptop or Desktop (minimum 8GB RAM )
• Headset with noise-canceling microphone (preferred)
• Stable internet connection (minimum 10 Mbps)
• Availability to work long-term during U.S. hours
