About the Role
We are seeking a highly organized, proactive, and tech-savvy Executive Assistant to support our CEO in a dynamic and cross-functional capacity. This role is pivotal in ensuring operational efficiency, managing complex schedules, and serving as a trusted right hand in both daily operations and strategic initiatives. You will play a key role in driving productivity and acting as a liaison across internal teams and external stakeholders.
Key Responsibilities
• Calendar & Schedule Management: Manage and optimize the CEO’s calendar, including meetings, appointments, travel, and personal engagements with precision and foresight.
• Task & Workflow Coordination: Oversee task and project tracking using task management platforms (e.g., Asana, ClickUp, or similar); ensure timely follow-through and accountability across departments.
• Inbox & Communication Management: Triage and respond to emails, messages, and requests on behalf of the CEO with professionalism, discretion, and accuracy.
• Tech Enablement: Leverage tools such as online ticketing systems (e.g., Zendesk, Moxo, Jira), collaboration platforms (e.g., Slack, Teams), and cloud storage (e.g., Google Drive, Dropbox) to streamline operations.
• Cross-Functional Support: Serve as a point of coordination between executive leadership and internal teams, helping to move initiatives forward and solve bottlenecks.
• Meeting & Event Preparation: Prepare agendas, briefing materials, and notes; handle logistics and follow-ups.
• Personal Assistance: Provide light support on personal and confidential matters at the CEO’s discretion.
• Confidentiality & Discretion: Handle sensitive information with a high degree of integrity and professionalism.
Qualifications
• 4+ years of experience supporting senior executives or C-level leaders
• Proven expertise with modern task management tools (e.g., Asana, Trello, Monday.com)
• Experience using online ticketing or support platforms
• Strong written and verbal communication skills
• Mastery of calendar systems (e.g., Google Calendar, Outlook), travel booking, and virtual meeting tools (Zoom, Teams)
• Exceptionally organized, punctual, and detail-oriented
• Highly self-motivated with a bias toward action and problem-solving
• Ability to multitask in a fast-paced environment while maintaining focus and quality
• Tech-savvy with a keen ability to learn and implement new tools quickly
Preferred Qualifications
• Experience in a startup or high-growth business environment
• Familiarity with CRM tools and workflow automation platforms
• Background in operations, administration, or project management a plus

Salary
$60,000 - $90,000 per year
