Technical Virtual Assistant (Health Practice + Digital Programs) Needed for Ongoing Support
We’re seeking a highly organized and tech-savvy Technical Virtual Assistant to support the backend systems of a health-focused practice.
This role involves managing platform integrations, troubleshooting errors, and keeping our digital programs and client workflows running smoothly.
You’ll support a team that includes a lead doctor, health coaches, and digital program staff. We use Practice Better, Kajabi, Zoom, Gmail, Zapier, and QuickBooks, among other tools.
You’ll be expected to maintain clean connections between platforms, solve issues before they cause breakdowns, and document your work with precision.
This is not a basic admin position. We’re looking for someone who understands how systems talk to each other and thrives in a healthcare-adjacent, detail-sensitive environment.
-Maintain and troubleshoot integrations between Zoom, Practice Better, and Google Calendar
-Set up and monitor automations (e.g., Kajabi forms → tags → email sequences)
-Assist with course builds, member access, and funnel tracking in Kajabi
-Perform light troubleshooting across Practice Better, QuickBooks Online, Stripe, and PayPal
-Update Google Tag Manager settings and manage basic analytics tracking
-Manage and test zaps in Zapier (or suggest Make/Integromat where useful)
-Support website plugin updates or front-end changes in WordPress
-Document processes, workflows, and access details in a shared system
-Flag tech issues before they affect patient experience or product delivery

Who You Are:
-A tech systems thinker who’s comfortable in the weeds
-Familiar with patient-facing environments or sensitive data
-Experienced in integrations across client portals, telehealth, and digital programs
-Clear, responsive, and confident in your communication
-Proactive—someone who looks for what’s broken before it breaks
-Comfortable taking ownership of tools and workflows once handed off
