Administrative Assistant Position – Vibrant Trauma Training Team

Thank you! :) Pacific Brainspotting Trainings (PBT) is a thriving training business dedicated to teaching therapists how to use Brainspotting—one of the most effective and cutting-edge therapeutic modalities for healing complex trauma and PTSD. We are seeking an Administrative Assistant to join our team and keep our training programs running smoothly and effectively. This role is best suited for someone who is detail-oriented, organized, creative, and tech-savvy. You’ll serve as part administrator, part office manager, part marketing support, and a lot of customer service. We are looking for someone with excellent skills in creating professional and eye-catching marketing materials as well as strong technical ability in managing and organizing files in Google Drive. Position Details • Hours: Approximately 30 hours per week • Experience: Minimum 3 years as an Administrative Assistant (or similar role) preferred • Location: Remote • Availability for live training events: Optional Responsibilities Communications & Administration (80% of workload) • Manage high volume of emails at a centralized training inbox • Answer phone inquiries from prospective participants • Prepare rosters in Excel, tracking registration and revenue before and after trainings • Send surveys, questionnaires, welcome letters, Zoom links, certificates, and recordings to students • Provide technical support to participants before, during, and after trainings • Handle CE (continuing education) inquiries • Collaborate with Training Assistants and Consultants-in-Training to divide responsibilities for each event • Optional: Support technical aspects of live trainings (Zoom breakout rooms, etc.) • Keep Google Drive organized, accurate, and up to date Marketing (20% of workload) • Design and create marketing flyers for Brainspotting Trainings, webinars, and speaking engagements • Develop and send monthly Mailchimp newsletters to promote trainings • Create and edit student manuals from PowerPoint presentations • Manage therapist database in the U.S. and maintain accurate contact lists • Maintain and update our website training schedule (Shopify) • Manage social media accounts (optional) • Support marketing efforts for our founder, Lisa Larson, including humanitarian initiatives About You • You thrive in remote work and do not need day-to-day in-person contact • You are highly skilled in Microsoft Word, Excel, PowerPoint, Publisher, Canva, Zoom, Mailchimp (or Constant Contact), and website maintenance tools • You are creative and experienced in designing marketing materials for professional audiences • You are detail-oriented, organized, and excel at time management • You have excellent written and verbal communication skills, with a customer-service mindset grounded in patience, kindness, and empathy • You are trustworthy, proactive, and able to keep a team on track • You are tech-savvy, with strong experience in Google Drive organization and maintenance Benefits We value our team members and offer a supportive, flexible work environment.
