The Operations Assistant works 20-25 hours per week to support the COO in building a positive work culture, fostering strong team morale and developing employee-focused processes & procedures. S/he will provide communications, scheduling and care for job candidates, volunteers and new hires as well as guest speakers who present in devotions. This work helps the ministry run smoothly in order to advance our team’s ability to raise awareness, prayer and financial support to serve persecuted Christians around the world.

APPLICANTS SHOULD BE BASED IN THE STATE OF MICHIGAN. Should no qualified candidates apply from this region, we will consider U.S. based candidates in the following states: CA, CO, FL or AZ.
ESSENTIAL JOB DUTIES
• Coordinate the scheduling, follow-up reminders and thank you notes to employees and guest speakers who present in our weekly devotions and monthly “All Staff” meeting. In addition, s/he will lead a group prayer time during devotions every six to eight weeks.
• Lead or assist with leading and facilitate communication for one to two reading/discussion groups that employees can opt to attend throughout the year. S/he will also help develop occasional “micro trainings” that might be helpful for employees (for example, a refresher on best practices of time management).
• Coordinate a mentor program that matches new employees with a veteran employee, including providing questions for discussion and surveying participants for input to problem solve or drive improvements.
• Provide administrative/planning support to the COO related to staff care and morale-boosting activities.
• Help recruit, vet and provide orientation to volunteers who can assist with staff projects in Arizona, California, Colorado, Florida and Michigan. Conduct annual surveys of participating volunteers and staff to gather input and drive improvements to volunteer experience. As part of this duty, s/he will register and maintain an account with VolunteerMatch.
• Post new jobs via the Gusto HRIS platform, evaluate resumes for qualified applicants and collect notes/resumes for preservation. S/he may also be asked to share job postings/volunteer positions with area churches or on various social media groups/pages where they are likely to be seen by relevant candidates.
• Coordinate the scheduling of interviews with potential job candidates, including attending interviews, recording notes for preservation and sending email acknowledgements when a position has been filled. S/he may also be asked to conduct initial phone screenings for some posted jobs, as needed or appropriate.
• Make calls to check references for potential new hires.
• Oversee tasks related to onboarding new employees, including conducting background checks, sanctions screening and citizenship verification; ordering equipment; requesting a corporate credit card and ordering business cards. S/he will also schedule the various orientation components for new team members, including ensuring new hires complete online sexual harassment prevention and My Learn courses.
• Liaison with Human Resources agency partners on matters such as adding new employees and their reporting structure to the HRIS system and triggering their retirement plan communications.
• Cast vision and create additional trainings that may benefit incoming employees, such as training around submitting time off requests or using MS Teams.
• Supervise the collection and filing of paperwork required for onboarding and offboarding employees, as well as maintaining/annually auditing personnel files.
• Schedule hotel rooms, meal reservations and other activities as needed for annual events, such as Team Days and Strategic Planning Days (set-up, welcome, hospitality coordination).
• Coordinate the collection and organization of data to show the health of the staff, as shown by indicators such as time off taken.
• Assist in collecting and filing input for items like performance reviews, 360° reviews and strategic planning, including periodic organization-wide reviews of job descriptions as needed.
• Perform a variety of administrative duties including maintaining a list of all vendors and contractors engaged by Open Doors; drafting or proof-reading SOPs; updating org charts, staff directories and birthday lists etc.

• Familiarity with/ability to learn online software
• Executive Assistant, Office Administrator, Human Resources or other similar administrative experience is considered a plus
